What you'll do
- Coordinate with vendors and CURPB to collect and process invoices through birchstreet
- Assist in organizing activities for influencer/press itineraries
- Draft monthly marketing report
- Check on a weekly basis the Expedia TravelAds
- Update ongoing promotions
- Internal Graphic design requests from other departments (signages) and content creation
- Respond to Trip Advisor Reviews
- Creating sales related report such as Weekly GRC, Weekly Funnel Formatter, Monthly Resort vs. Cluster, Monthly KMG reports
- In charge of all wedding’s group/events
- Admin for DOSM in handling Controllable for S&M
- BEO’s, proposals and contract for groups
- Amenities/together with trainee
- Reservation requests (site, fam /together with trainee)
- Attending meeting with either new client or having networking meeting
- Conducting site inspection to sell our ballrooms or property itself for groups/events
- Creating VIP Site alerts and communicating these to all departments including creating amenities and walking rooms prior to arrival
- As a Luminous Ambassador keeping track of the Luminous reservations, handwritten welcome letter and amenities
- Meet and escort clients through the property and highlight features of the facility as well as available services.
- Take on responsibility for Executive office in terms of general office administration including office supply inventory, materials, and overall professional look
- Track all wholesale promotions and update productions per tour operator.
- Gift certificates/barter deals/comp forms
- Is the first point of contact and is able to assist with all general Sales inquiries and managing the Sales inbox
- Inventory merchandise/giveaways and marketing materials for distribution; reorder or consult when supplies are low/damaged
- Communicate with clients via telephone, written correspondence, and in person, our policies and procedures as they relate to the coordination of their events.
- Maintain a working relationship with other departments.
- Maintain Client files, making sure that they are kept organized and current with all information.
- Keep office/desk area organized and clean.
- Detailing Resume & BEO’s (Creating Event Orders, resumes, floorplans and any additional supporting documents for confirmed events)
- Building opportunity in CITY and making quotes
- Upselling catering revenue
- Making Reservation Link (Group Housing)
- Attend internal Beo-meetings
- Sertify/ Group Billing/ managing deposits
- Managing vendors of weddings
- Managing Wedding Wire, activities in CITY
- Check all functions prior to client's arrival, guaranteeing all details agree with client’s requirements and hotel standards. Meet with the appropriate staff and prior to the function to ensure any deficiencies are corrected by respective personnel
- Brainstorming promotional materials/ideas
- Complete CITY courses and wedding planning in DLZ
- Attends manager cocktail receptions
- After-event follow up & monitoring ESS
- Reporting production numbers monthly (actuals and forecast)
- Assist with creating comp set for wedding packages
What we’re looking for
- Bachelor’s degree in Hotel Management or a related field is preferred.
- Strong multitasking abilities and a proactive approach to managing tasks.
- Excellent communication skills, both verbal and written.
- Able to work independently and take initiative when needed.
- Exceptional hospitality skills with a passion for delivering outstanding guest experiences.
- Highly organized and detail-oriented.
- Proficient in Microsoft Office programs.
- Flexibility to work various shifts, including weekends and holidays, as needed.
- Fluent in English, with additional language skills being an advantage
